Administration · What your band's plan includes, how the free trial works, and what happens when a plan ends.

What it's for

Every band is on a plan: Free, Band or Pro. Free covers everything you need to play music together – events, availability, lineups, songs, setlists and stage mode. Band adds what active gigging bands need to run things (gig fees and payouts, logistics, the Bandsintown import, full history). Pro adds the tools for bands run like a business (expense claims, agreed pay, QR payments). You pay per band, never per member.

When to use it

  • You want to know what your band's plan includes or how long the trial lasts.
  • Someone can't join because the band is at its member limit.
  • You are thinking about upgrading.

How to

See your band's plan

You need: The Manage band settings permission (Band Admin by default).

  1. Open Settings → Plan.
  2. Your plan shows the plan you have now and why: a trial with the days left, a plan given to the band free of charge, or the Free plan.
  3. Below it you see how many members count towards the limit, and the plans side by side with their prices (in EUR, without VAT).

Result: If online payment isn't available yet, Pulse support changes a band's plan – use Contact support in Help.

Buy or change a plan

You need: The Manage band settings permission.

  1. Open Settings → Plan and, on the Band or Pro card, select Monthly or Yearly (2 months free).
  2. Stripe's secure payment page opens. Enter the billing address (and your VAT ID if the band invoices as a company) and pay by card, Apple Pay or Google Pay. VAT is added there.
  3. Back in Pulse, the plan changes as soon as the payment is confirmed – usually within a minute.
  4. To change the plan, the payment method or the billing address, download invoices or cancel, select Manage subscription.

Result: Invoices come by email. If a payment fails, the band keeps its plan for 14 days while you update the payment method; after that it moves to Free – nothing is deleted. After cancelling, the plan runs until the end of the paid period.

Who you pay

  1. Stripe's payment page and the invoices name DxO Systems s.r.o., the operator of Pulse, as the seller.
  2. About Pulse in your account menu lists the company's details and the Pulse version you are using.

Result: Card details are processed exclusively by Stripe; Pulse has no access to them. The invoice is a tax document issued by DxO Systems s.r.o.

When a payment fails

You need: The Manage band settings permission.

  1. Band admins get a message Payment for … failed, and the dashboard shows Payment failed – update the payment method with the days left.
  2. Open Settings → Plan and select Manage subscription. On Stripe's page, update the card or choose another payment method. Stripe tries the payment again.
  3. Three days before the 14 days are up, admins get a reminder if the payment is still missing.

Result: When the payment goes through, admins get Payment received – thank you and nothing changes for the band. If it is still missing after 14 days, the band moves to Free – nothing is deleted, and the plan comes back as soon as the payment is made.

The free Pro trial

  1. Every new band gets 30 days of Pro for free – no card needed.
  2. Settings → Plan shows how many days are left.
  3. Big ensembles: when a band on its trial has more than 15 members, the trial lasts 60 days, and the dashboard and Settings → Plan say early on that adding members after the trial needs the Band plan.
  4. Band admins (everyone with Manage band settings) get a reminder 7 days and 1 day before the trial ends, and a message when it has ended – in the app, by email and by push.
  5. When the trial ends, the band moves to Free. Nothing is deleted: paid features you stop using become read-only, so you can still see your finances and logistics.

The member limit

  1. On Free, up to 15 active members count. Deps and guests (the Dep / Guest role) and inactive members don't count.
  2. When the band is at the limit, nobody loses access – only new members can't join. The invitation then says the band has reached its limit.
  3. Band and Pro have no member limit.

What changes on a lower plan

  1. Gig finances (fees, costs, payouts), logistics and the Bandsintown import are part of the Band plan. Expense claims, agreed pay and QR payments are part of Pro.
  2. Without them, everything already entered stays visible – the band's history, finances and logistics never disappear. You just can't add or change it; a note says which plan it belongs to.
  3. You can still delete old entries, and expense claims that were already submitted can still be approved and paid back.
  4. Back on the right plan, everything can be edited again straight away.

Permissions and limits

  • Settings → Plan is visible to people with Manage band settings (Band Admin by default).
  • Every member can use what the band's plan includes; their permissions still decide who may do what.

Examples

A big ensemble after the trial

A 40-piece orchestra sets everything up during the trial. When it ends, all 40 members keep their access and nothing is lost; the band just can't add a 41st member until it moves to Band.

Common mistakes

  • Deleting old gigs to save space – nothing is deleted when a plan ends, and storage is counted for files, not for events.

Troubleshooting

A new member can't accept the invitation.
The band is probably at its member limit. Check Settings → Plan. Members on the Dep / Guest role don't count, so a dep can still join.
I don't see Plan in Settings.
You need Manage band settings (Band Admin by default).
